ClickUp integration
Link customers to ClickUp Spaces or Lists, two-way sync tasks and comments, and mirror timers — with granular per-customer controls so a client only sees the work you want them to.
What ClickUp does in Conopeum
ClickUp fits two very different teams:
- Teams who live in ClickUp. Use it as your primary PM alongside — or instead of — Plutio. Every customer links to a Space or List and stays in two-way sync.
- *Agencies whose clients live in ClickUp.* You keep working in Conopeum (and Plutio if you use it), and only the client-visible section of that customer''s tasks mirrors into their ClickUp workspace. Perfect for marketing/creative teams whose clients demand access without giving up your own workflow.
You can connect either or both primary PMs in the same Conopeum workspace — Conopeum acts as the hub, and each linked customer decides which external system(s) receive their tasks and time.

The sync model (hub-and-spoke)
Conopeum is authoritative. When Plutio and ClickUp disagree about the same task, Conopeum''s version wins and gets pushed back out. External edits are treated as advisory — they flow in, but Conopeum''s state is the source of truth for what everyone else sees.
This is what makes it safe to link the same customer to both Plutio and ClickUp: your ClickUp-native client and your Plutio billing records stay in step because both mirror the same Conopeum task.
Loop suppression is built in: a task Conopeum just pushed to ClickUp will not come back as an "incoming change" on the next webhook, so edits don''t bounce.
What syncs today
- Tasks — create, update, and complete in any of the three systems; the others follow. Title, notes, due date, status, and assignees round-trip.
- Comments — new task comments in Conopeum push to ClickUp, and comments added in ClickUp mirror back as
[ClickUp: name]-prefixed comments on the same task so you can always tell who said what. - Time entries — timers you run in Conopeum push to ClickUp time tracking on the linked task (and to Plutio if that customer is also linked). Toggle-able per customer.
- Customers → Spaces / Lists / Folders — pick where in ClickUp each customer''s work lives. The picker supports scoping by List, Folder, Space, or by assignee inside any of those.
- Real-time webhooks — ClickUp changes arrive over a registered webhook, backed by a 24-hour health card in Settings → Integrations so you can see events flowing.
Explicit opt-in, per customer
ClickUp sync is off by default. On each customer you flip Mirror to ClickUp on and pick the destination Space or List. Nothing pushes to ClickUp until that toggle is on — this keeps unrelated customers out of your client''s ClickUp workspace.
Granular sync controls
Because ClickUp is often a client''s workspace, controls are granular. Per customer you can toggle independently:
- Push tasks to ClickUp (on/off)
- Push time tracking to ClickUp (on/off) — useful when you bill in Plutio but the client wants task visibility only
- Mirror comments to ClickUp (on/off)
- Sync direction — two-way, pull-only (ClickUp → Conopeum), or push-only (Conopeum → ClickUp)
- Which section/channel is client-visible — only tasks in that section sync out
Internal notes stay internal
Any comment or subtask flagged Internal in Conopeum never mirrors to ClickUp or Plutio. Use this for pricing, staffing, or anything you don''t want the client to see. This is enforced on the sync worker, not just hidden in the UI.
Can I use ClickUp and Plutio at the same time?
Yes — in the same workspace and on the same customer. Because Conopeum is authoritative and loop-suppressed, a single task can safely mirror to both. The typical setup is Plutio for billing/retainer clients and ClickUp for clients who already live there. See the Plutio integration guide for the Plutio side of the same picture.
Connecting ClickUp
- Settings → Integrations → Connect ClickUp.
- You''re redirected to ClickUp to approve the OAuth app.
- Conopeum registers a webhook for real-time updates and shows a green connection health card in Settings → Integrations.
- Open a customer, flip Mirror to ClickUp on, and pick the destination Space, Folder, or List (with optional assignee scoping).
- Set the granular per-customer toggles (tasks, time, comments, direction, client-visible section).
- Tasks in the client-visible section start syncing on the next save; existing tasks in the chosen scope pull in on the first sync.
FAQ
Do I need a paid ClickUp plan? No — the free plan is enough for task and time sync. Some advanced ClickUp features (custom fields, guests) require ClickUp''s paid tiers.
What if my client edits a task in ClickUp? The change flows in as advisory. If it conflicts with what''s in Conopeum, Conopeum''s version is pushed back — so make the change in Conopeum (or in your PM system of record) to have it stick.
Will my internal notes leak to the client? No. Comments and subtasks flagged Internal never leave Conopeum. This is separate from the per-customer sync toggles.
Can I link a customer to just ClickUp and not [Plutio](/help/plutio-integration)? Yes. Each external system is independent per customer.
How do I know sync is working? Settings → Integrations → ClickUp card shows connection health for the last 24 hours (events received, errors, last event time). Each linked customer''s card also shows the Last synced timestamp and any last error inline.
